In this article, you will learn how to record down payments (prepayments) with orderbird PRO.

Basic principle of offsetting

When a guest makes a payment in advance (e.g., for a reservation or an event), this amount is initially recorded as revenue. As soon as the actual service (e.g., a party) takes place, the down payment is deducted from the total amount so that the guest only has to pay the difference.

On the day of the down payment:  Set up a miscellaneous item

  1. Create a miscellaneous item named “Down Payment”. Here you can find out how to create a new item. 
  2. Then book this “Down Payment” item to a table, which you should ideally give the name of the event. 
  3. Settle the item (e.g., 'Down Payment') using the same payment method used to make the down payment.

On the day of the event: Set up an extra payment method

  1. Set up an extra payment method (call it “Down Payment”, for example). Here you can find out how to create a new payment method.
  2. On the day of the event, book the value of the down payment when paying via “Multiple payment methods” and then via the set-up payment method (in this example “Down Payment”). 
  3. Select the desired payment method for the remaining balance and settle it as usual.
